You can communicate with your delegates quickly and easily, send email invitations worldwide, let your delegates register online, show travel details, hotel bookings, arrival times and details of dietary requirements along with the event programme, the destination and venues for various activities.

Delegate Communication

• Branded teasers, invitations, registration countdowns and updates can be sent out before the event as well as calls to action and reminders post-event
• Messages can be sent to all attendees or targeted to specific categories such as VIPs, speakers, media, attendees from a specific country

Delegate Registration

• Simple and easy to use delegate registration captures all the key information for each attendee
• Event stakeholders can register and edit a group of delegates easily and effectively
• Email confirmations are automatically sent to the delegate. This can include confirmation of travel policy and booking of flights
• Simple and easy to use inventory management and group booking facilities. So we can manage the accommodation, social functions, meeting sessions for you with the data displayed always representing real-time status of the meeting

Management Reporting

• Real-time reporting of all key information held in the database, accessible 24/7. This can include delegate lists by country, rooms used per night and take up of flight options
• All reports can be output direct onto the screen in PDF format
• Key documents such as budgets, proposals and timelines can be posted to secure areas for access by key event stakeholders
• Clients, affiliates, suppliers can all have access to different financial and event management reports based on clients requirements 

Post Event

• Facility to create limitless and fully customisable pre and post event evaluation questionnaires
• The system can be used for multiple concurrent events with no limit on the amount of information displayed or number of delegates booked
• Communication with the delegate does not finish when the meeting ends. The Portal allows delegates to return and view web casting, on-line forums and key documents such as hard copies of presentations and speeches as well as event photographs
• Online web conferencing allows for a two-way FAQ system, enabling team members to post questions to experts, the answers to which are stored within a secure database so that this knowledge can be accessed by all team members
• Web statistics can be produced advising which content is most popular and identifying skill gaps and further knowledge requirements
• A presentation toolkit can be downloaded together with a register of when internal presentations are being held to allow for head office monitoring and attendance

Technical

• All on-line functionality is connecting in real-time to the database and is available 24/7
• The technology used for data store is SQL servers. The system has been developed with Microsofts latest .NET technolgy to allow easy integration and reliable performance
• Our system is held on managed servers hosted internally. Performance is under continual monitoring 24 hours per day, 365 days per year

Security

• 100% confidentiality. Every aspect to the system is password protected. Even the basic information pages cannot be viewed without prior invitation to login and ALL users must hold a valid username and password prior to accessing the site
• Standard and varying levels of access privileges available. Determined by you, these privileges can be amended or revoked at any time on demand
